JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Aide will provide administrative support and assistance to the College of Pharmacy, Nashville campus, concerning the day-to-day operations for faculty, staff, students, and visitors. The position will initiate and coordinate the administrative support functions required in the implementation of administrative policies and procedures for the Nashville campus.
DUTIES AND RESPONSIBILITIES:
- Performs administrative tasks including but not limited to typing, photocopying, faxing, scheduling meetings, and answering the main Nashville college phone lines.
- Greets and provides administrative assistance to faculty, staff, students, and visitors in the department.
- Sorts, screens, and distributes incoming and outgoing mail; orders supplies for mail and Fed Ex.
- Assists with maintaining yearly Equipment and Space inventory records.
- Orients new faculty and students on the use of equipment.
- Serves as a proctor for computerized and non-computerized quizzes and exams and prepares all proctor materials to distribute to students.
- Provides administrative support for special programs and projects directed by Nashville campus faculty.
- Orders and maintains office inventory of supplies and equipment.
- Orders and maintains an inventory of Pharmacy books and course-related materials.
- Perform other duties as assigned.
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Three (3) years of administrative support experience preferably in a university setting.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Excellent oral, written, organizational and communication skills to interact with a diverse group of faculty, students, staff, and visitors.
- Ability to maintain a high degree of confidentiality.
- Ability to work independently and adapt to frequently changing priorities.
- Ability to maintain a high degree of confidentiality.
WORK SCHEDULE: This position is occasionally required to work evenings.
