Job Title: Part-Time Secretary, Fire Prevention Bureau

Summary: Performs complex clerical work requiring a moderate degree of decision making; receives visitors, answers phones, makes appointments, and arranges meetings; performs related duties as required. Works under the supervision of the Fire Chief or designee, who reviews performance for conformance to departmental policies and procedures.

Duties: Maintains records, files, and reports; takes and transcribes difficult and/or technical dictation and types from rough draft and other sources, letters, memoranda, reports, contracts, forms, and other materials. Receives visitors, answers phones, makes appointments, and arranges meetings. Assists the public in filling out forms and documents.  Prepares correspondence for review by supervisor; opens, reads, and distributes incoming mail; assembles pertinent files and materials relevant to reply. Performs miscellaneous clerical work; operates various office machines. May perform one or more of the following: issuing licenses and permits; receiving fees and maintaining records; preparing bank deposits and making reconciliations; attending meetings and conferences and taking minutes; obtaining affidavits and notarizing documents; performing preliminary research and arranging and collecting data; assisting in preparation of time and attendance records for payroll processing.

Requirements: High School graduate or equivalent. Bachelor’s degree highly preferred; applicable experience may be considered in lieu of degree. Five (5) years of administrative experience in a business or government agency. Thorough knowledge of MS Office preferred.

Salary:  $21.88 per hour. Part-time, not to exceed twenty-eight (28) hours per week.
