Office Coordinator
The full-time Office Coordinator assists the Johnson County Agricultural Extension District and the Regional Extension Education Director (REED) in financial and office management at the Iowa State University Extension and Outreach (ISUEO) of Johnson County office. Along with the Program Associates, the Office Coordinator is the primary contact for the public, in office management duties, and in general clerical functions. The position requires extensive knowledge of ISUEO and county policies, skill in written and oral communication, skill in performing a wide variety of office management functions, experience in financial management, and demonstrated good judgment, dependability and confidentiality.
Qualifications
- 1. Bachelor’s degree with experience required
- 2. Computer literacy (Fluent with e-mail, MS Office programs: Word, Excel, Publisher and web systems)
- 3. Ability to work in a fast-paced team atmosphere
- 4. Organizational skills, multi-tasking capabilities, and the ability to achieve deadlines
- 5. Demonstrates leadership and staff management
- 6. Experience with financial management and systems
- 7. Strong communication skills, written and verbal
- 8. Ability to take initiative and be a self-starter
- 9. Valid driver’s license and access to reliable transportation, to fulfill the duties of the position
- 10. Must pass ISU Extension and Outreach background check and be approved by the Johnson County Agricultural Extension District Council.
Job Responsibilities
- 1. Assist clients by furnishing information concerning (ISUEO) programs and lead clients to the resources available from ISUEO Program Specialists, researched-based websites, and cooperating agencies
- 2. Support ISUEO program specialist within ANR, Human Sciences, 4-H Youth Development, and Community & Economic Development with program needs including registration and a variety of clerical functions
- 3. Manage payroll in cooperation with the accountant as well as perform direct deposit functions
- 4. Organize and enter financials into Iowa State University approved system, assist the accountant in preparing monthly reports, and report the budget to Extension Council
- 5. Assist REED in financial management including the budget, program areas and grants
- 6. Develops and maintains financial records, documents and files. Lead in maintaining master filing system & manuals
- 7. Prepare grant reimbursements; works with recipient program to understand grant requirements
- 8. Maintains calendar of program events, staff activities and reserving the use of conference rooms
- 9. Prepare correspondence for distribution of letters, flyers, newsletters and electronic formats
- 10. Assist with the following: web and computer program support, audio/visual equipment, data entry
- 11. Perform and manage clerical operations: processing mail, maintaining supplies, duplicate and assemble materials using copy machines and work-orders.
- 12. Works as a team with Program Associate(s) and Office Assistant to balance workload
- 13. Supports the REED in implementation of office policies, human resource compliance, orientation of new staff & supervising volunteer office workers, collecting statistical data for reporting purposes and maintaining office records
- 14. Recommends to REED changes in office methods and procedures as needed
- 15. Under special delegation of authority, represents REED at meetings
- 16. Liaison with the Johnson County Extension Council, ISUEO and REED
- 17. Other duties as assigned
Demands of the position
- 1. This is a 40 hour per week position with normal work hours 8:00 A.M. to 5:00 P.M. Monday through Friday with a 1-hour lunch break, some evenings/weekends required a. The position requires additional overtime hours during the month of July for the Johnson County 4-H and FFA Fair.
- 2. This position requires routine office demands, including possibility of lifting of moderate weights
