Job Summary:The Confidential Secretary handles day-to-day operations with a focus on efficiency and time management. Responsible for intra-office communications, streamlining administrative procedures. Works directly with the President Directing Business Representative as well as the Secretary Treasurer and the Business Representatives. All employees are unionized collective bargaining employees. Responsibilities: • Maintain Confidentiality at all times.• Schedule meetings and appointments.• Providing information to Staff, and co-workers, by telephone, in written form, e-mail, or in person.• Operate office equipment, such as fax machines, copiers, or phone systems.• Prepare reports, memos, letters, and other documents, using word processing, excel spreadsheets, database, or presentation software.• Performing day-to-day administrative tasks such as maintaining information files and processing paperwork.• Handle executives’ requests and queries appropriately• Participates as needed in special department projects.• Assists with special projects as needed• Must have very good organizational skills• Perform other duties and tasks as assigned.• Attend meetings to take notes and/or confidential notes.• May be assigned to train other secretaries or oversee their job duties.• Multitasking skills – must be able to prioritize tasks• Attention to detail – proofreading text, letters and double-checking figures.• Collaboration skills – the ability to work well with people at various levels within the organization.• Listening skills – listen carefully to direction, orders and carry them out.• Computer proficiency – Typing minimum words per minutes 50 • Professionalism – acts on behalf of President Directing Business Representative as well as the Secretary Treasurer and Staff and possess exceptional manners.• Attends and helps with District 70 charity events.Qualifications: • At least FIVE (5) years of office experience. • Must have A MINIMUM OF 2 years “executive administrative” assistance experience. (post-secondary education in secretarial skill sets, associate or higher degree can be substituted for 2 years executive experience • Proficiency in Microsoft Office suite• Ability to handle issues in confidential manner• Engaging, high energy and detail oriented• Requires excellent written and verbal communication skills• Requires being reliable, responsible, and dependable, and fulfilling obligations• Requires being careful about detail and thorough in completing work tasks• Requires developing one's own ways of doing things, guiding oneself with little or no supervision, and depending on oneself to get things done• Job requires being honest, ethical and confidential • Requires the ability to occasionally lift office products and supplies, up to 20 poundsJob Type: Full-timeExperience:• Microsoft Office: 2 years (Preferred)• Administrative: 2 years (Preferred)• Office: 2 years (Preferred)• Organizational Skills: 2 years (Preferred)• Written Communication: 2 years (Preferred)• Executive Support: 2 years (Preferred)References and Resume required
