GENERAL SUMMARY OF POSITION:
The Senior Payroll Specialist will be responsible for the day-to-day payroll processing of several companies according to various processing schedules. This will include compiling and entering employee time, payroll data, and employee maintenance into payroll system. This is a highly analytical position with a focus on labor and tax compliance. This position will also provide strong customer service to our employees, sales force, and management team.
CORE & ESSENTIAL FUNCTIONS:
• Ensures all payroll transactions are processed timely and accurately for up to 16 different FEIN's encompassing all 50 states, Canada, and the UK. Payrolls include union employees and varying pay cycles; weekly, biweekly, semi-monthly, and monthly.
• Develop and maintain accurate payroll records and reports in multiple systems
• Commission calculation and payment processing on an on-demand basis
• Understand the complexities of piece rate, weighted overtime and factoring non-discretionary bonuses into base pay rates
• Manages administration of electronic time clocks (AcroTime/Kronos Interface) as well as the review of downloaded information for completeness and accuracy
• Perform 401(k) deduction upload and funding as required per Internal Revenue Service and Department of Labor regulations
• Handle weekly 401(k) contribution changes and review loan monitoring
• Broad understanding of taxation on earnings and requirements for state and local jurisdictions
• Handle all customer communication in an effective, efficient, and positive manner through problem solving and analytical skills
• Quickly and professionally react to the unique needs of Garland's internal customers
• Create and compile internal and external reports via ADP's WorkforceNow custom reporting system as needed
• Audit all new hires entered into the system by On-Boarding Teammate
• Complete month end processes and procedures including payroll journal entries for Accounting. Work through reconciling differences and account balancing with the Accounting Team.
• Help maintain Vacation, PTO, and Sick Time Accruals. As well as ensuring compliance with state mandated legislation. Track time earned and used for employees.
• Assist with various audits including 401(k), Workers Compensation and State Tax Agencies
• Assist in year-end execution including, bonus processing, 3PSP adjustments, and the audit of over 1,400 W-2's
• Help facilitate educational 401(k) mailings
• Assist On-Boarding Team in final file review
• Identify potential process changes to increase efficiencies
• Interpret and implement policies and practices relating to satisfying customer's needs and issues
• Assist in various merger, acquisition, and transition type projects, as needed
• The ability to work without any monitoring or supervision
• Exercise discretion and independent judgment to resolve issues and ensure compliance
• Scanning and filing of payroll related documents
• Take an active approach towards gaining knowledge and understanding of payroll laws, procedures and requirements
• Assist with other projects as needed
QUALIFICATIONS:
Minimum of 5 years payroll experience. Possession of at least a high school diploma is required and a post-secondary degree or college classes in accounting is preferred. Advanced skillset within ADP WorkforceNow is highly desired. Demonstrated aptitude for problem-solving, basic accounting principles knowledge, documentation skills, research, resolution skills, data analysis and multi-tasking skills are essential. Must have the ability to maintain a strict level of confidentiality. Must be results-orientated and able to work both independently and within a team environment. Must possess excellent verbal and written communication skills. Must be detailed oriented and highly organized. Proficiency in using Microsoft Office Suite applications; especially VLOOKUP and basic functions within Excel.
PHYSICAL REQUIREMENTS:
Ability to communicate orally in a clear, concise, and effective manner with the customers, account representatives, company representatives, management, staff, and the public in face-to-face, one-on-one and group settings. Ability to use a telephone for communication. Ability to maintain regular, predictable, and punctual attendance at the facility. Ability to establish and maintain effective working relationships with others. Use office equipment such as a personal computer, copier, and facsimile machines. Ability to communicate in writing in a clear, concise, and effective manner. Sit or stand for extended time periods. Hearing and vision required to be within normal ranges. Read at, above, and below shoulder height. Occasionally stoop, kneel, or crouch. Sufficient manual dexterity required to operate equipment. Normal range of tolerance to household and other types of typical industrial/ construction chemicals and solvents.
