Characteristics of the Job
The ability to speak Spanish is preferred for this position.
Under direction, performs relatively complex clerical and accounting functions requiring application of judgment based on knowledge gained through experience. Detailed instructions are given at the beginning of work and on new assignments; however, after becoming familiar with established policies, employees are free to develop their own work sequences. Must follow instructions quickly and accurately, handling large sums of money and assisting in the efficient operation of the finance department.

- Answer the telephone and assist customers at the customer window by providing information in accordance with established departmental policy.
- Create, maintain, retrieve and destroy accounting records and department files as required by law.
- Support accounts receivable functions by assisting customers, setting up and maintaining customer accounts, generating invoices, maintaining files, processing payments, utilizing all collections options available, compiling reports and completing special projects as assigned.
- Balance daily cash receipts and post transactions to general ledger.
- Ensure strict confidentiality of financial records.
- Operate standard office machines such as a computer and keyboard, multi-line telephone system, calculator, photocopier, fax machine, mail machine, etc.
- Open, sort, and distribute incoming mail and prepare and process outgoing mail.
- Compose and type forms, letters, reports, and instructions.
- Assist in ordering, receiving, and accounting for office supplies.
- Train other staff in current office operations and provide assistance where necessary.
- Promote communication and adequate information flow.
REQUIREMENTS
Training and Experience
Associate’s degree or equivalent from an accredited college or university in accounting or a related field and two (2) years related experience; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
Knowledge, Skills and Abilities
Good knowledge of business English, arithmetic, spelling and grammar; and of the laws and regulations that impact the work performed; working knowledge of generally accepted office procedures, practices, systems and equipment; knowledge of generally accepted accounting principles and procedures related to the accounts receivable function.
Exceptional skill in customer service and in maintaining effective working relationships; skill in maintaining filing systems and in data entry with reasonable accuracy and speed to satisfy departmental needs; and using Microsoft Outlook, Word, and Excel, and accounting software – Central Square Technologies preferred.
Ability to maintain absolute confidentiality of the materials and situations encountered on the job; understand, analyze and maintain accounts receivable records and prepare reports from such records; deal with the public tactfully and courteously and to work harmoniously with other employees; exercise sound judgment in making decisions in accordance with ordinances, regulations and established departmental procedures; demonstrate integrity in all work interactions and transactions; and to learn new systems and work methods. Ability to speak Spanish preferred.
