  • Manage all inbound advertising orders and insure that proper advertising schedules are input and correct billing information is captured.  This is for digital & print. This information is provided by the team and can come through a buy sheet or via a direct system with an agency or advertiser.

Essential Functions 

  • The process work for a multimedia sales coordinator includes: scheduling advertising campaigns, requesting advertising creative from our designers in Pune and Manila, interacting with Finance for initial credit process, and interacting with the centralized backend sales support assistants teams. 

  • Answer telephone inquiries and immediately mail advertising clients requesting such.  Always maintain a positive working attitude with customers. Answer questions and explain advertising options to customers.  Explain the credit policy when customers ask for such.  Research and answer advertiser questions about billing, account spending and other history.

  • Oversee the customer service needs of each client being supported.  This includes prompt communication on campaign scheduling changes, updates on artwork or print ad copy and getting the client set up on the eTearsheet system to demonstrate campaign fulfillment.

  • Process materials including trafficking materials and where necessary, preparing art and copy from client and account manager instructions for ad and spec production. Turn-in layouts and specs to advertising fulfillment specialist team by deadline and according to policies and procedures. 

Competencies & Skills

  • Must have a sincere interest in the advertising sales function and a commitment to the customer/advertiser with a high level of customer service.

  • Media customer service experience is helpful. 

  • Demonstrate ability to calmly handle multiple projects and tasks simultaneously.

  • Requires extremely organized individual who thinks clearly under pressure and achieves high level of accuracy.

  • Able to shift priorities quickly, gracefully handle any interruptions and demands, while keeping track of numerous tasks that need to be completed on deadline.

  • Must have a high level of proficiency in computer skills including Windows, Excel, Word, PowerPoint, Outlook, and advertising specific systems (AdBase).

  • Demonstrate a high level of motivation, strong problem-solving skills, and the ability to anticipate needs, independently assess situations, and exercise good judgment.

  • Flexibility and the ability to collaborate with other divisions within the company are key skills.

  • Must demonstrate effective oral and written communication skills and the ability to work cooperatively with internal and external customers, vendor, and staff.

  • Must be a detail-oriented individual who can generate/analyze important reports, instructions/processes, agendas and correspondence, tackle department inquires, and act as the key contact to other departments for the team.  Some analytical skills are required.

  • Knowledge of advertising practices including production, processing, advertised rates, product profile, employee incentive plans, information and advertising systems, wi
